People have gathered to attend meetings, conventions, and expositions since the ancient times, mainly for social, sporting, political, or religious purposes. MICE- Meetings, incentive travel, conventions, and exhibitions. ASAE- American Society of Association Executives. Associations are the main independent political force for industries such as hospitality. CVBs- convention and visitors bureaus. A number of bureaus have offices or representatives in many cities or a sales team to make follow-up visits to the leads generated in trade shows. DMCs work closely with hotels; sometimes a DMC books rooms, and another time a hotel might request the DMC’s expertise on organizing theme parties. A DMC does everything, including airport greetings, transportation to the hotel, VIP check- in, arranging theme parties, sponsoring programs, organizing competitive sports events, and so on, depending on budget. Service Contractors- The individual responsible for providing all of the services needed to run the facilities for a trade show. Conventions are larger meetings with some form of exposition or trade show included. Expositions are events that bring together sellers of products and services at a location where they can show their products and services to a group of attendees at a convention or tradeshow. An association is an organized body that exhibits some variety of volunteer leadership structure, which may employ an activity or purpose that the leadership shares in common. Meeting planning includes not only the planning but also the successful holding of the meeting and the post-meeting evaluations. Before a meeting planner can start planning a meeting, a needs analysis is done to determine the purpose and desired outcome of a meeting. The contract is a legal document that binds two or more parties. A conference event order has all the information necessary for all department employees to be able to refer to for details. Convention centers are going green by reducing the heat, light, and power consumption.

Event planning is a general term that refers to a career path in the growing field of special events. To gain business, event managers prepare a proposal for the client’s approval and contract signature. Sponsors provide money or in-kind contributions and in return receive recognition including use or display of their logo’s. Event planning stages are: 1. Research stage, 2. Design, 3. Planning. Hospitality Sales and Marketing Association International (HSMAI) is the largest and most active travel industry sales and marketing membership organization in the world, with over 7,000 members in 47 chapters from 12 countries. HSMAI’s mission is to be the leading source for sales and marketing information, knowledge, business development, and networking for professionals in tourism, travel, and hospitality. Sustainable event tourism refers to the implementation of practices and procedures which help conserve both the natural environment and the special event space.

    The history-recorded people gather to attend meetings mainly for social, sporting, political or religious purposes since ancient times. It began sometime in the 18th century and MICE are the recent growing segment of the tourism industry and the spending of MICE is about twice the amount of money that than what other tourists spends. There are about 90,000 trade and professional associations in the U.S and they are main independent political force for industries such as hospitality, and they offers the five key benefits such as governmental/political voice, marketing avenues, education, member services and networking.
    One of the major players in the industry is CVBs. The CVBs described as a non profit umbrella organization that promote the image of tourism in the local and city area, so that it will generate and increase revenues for the city. Destination management companies (DMC) are basically work as an agent between the clients and the associations. It offers a host of programs and services to meet the client’s needs, and the DMC work closely with hotels because it is require to book hotel rooms and organizing parties as well for parties or even more work to meet the client’s needs.
    There are different types of professional meetings, such as clinic, forum, seminar, symposium and workshop. Conventions are larger meeting with some form of exposition or trade show included, and it is normally held in a large hotels over 3-5 day period. These conventions are a large part of the association’s budget. Expositions are events such as a trade show, and it brings all seller’s products and services at a location so that business attendees will able to see their products and services. Associations are classified as trade association, professional, medical and scientific association, religious and government organizations.

    Summary of chapter 13
    An event planner is someone who coordinates all aspects of professional meetings and event. It has a growing demand for current and future employment opportunities.
    An event planner is responsible for planning the event from start to finish. The job task includes setting the date and location, advertising the event, providing refreshments and arranging catering, speaker and entertainment. A successful event manager acquires marketing, financial, operational and legal skills. It’s very important for the event management to get sponsorship, and sponsors expect something in return for their financial contribution. There are advertising, location charge, security costs, labor cost and production cost to host an event, and event management need to control the cost of the event to meet the client’s budget and to make the profits too.
    Normally, there are 5 stages of the event planning process, research, design, planning, coordination and evaluation. The classification of special events are introduce with corporate events, association events, charity balls and fundraising event, social functions, fairs and festivals, concerts and sporting events and mega sporting events. Some examples of special event organizations are the International Festival and Events Association, Meeting Planners International (MPI), Hospitality Sales and Marketing Association International (HSMAI) and Local Convention and Visitors Bureaus.
