Step#6: Assign Specific ”Positions/Roles”
Everyone within the club should have a certain position or Role that he/she is dedicated to. Assigning roles such as leader, treasurer, secretary, Historian, and even advertiser are all critical in making a strong club.
- Leader (president). This person should run the club, meetings, and enforce the rules.
- Deputy leader (vice president). This is the person who is in charge when the leader cannot make it.
- Treasurer. This person handles the club’s money, and keeps track of dues for memberships, pays the bills for the club’s operations and activities. He/She also keep records of all debits and credits for accounting purposes.
- Secretary. The secretary keeps minutes of every meeting and reads them for correction or addition at each following meeting. He/She can assist with the activities of the club, such as events that are hosted, and give a report of the event at meetings following these events.
- Historian. This person keeps a record of activities that the club hosts, etc.
- Head of Events. This person delegates club members to help in planning and organizing activities.

Step#5: Rules and procedures
The “rules and procedures” of a club, is what keeps a club within stability. It’s the foundation of any club, striving for a great future. Things such as who speaks when, or who decides what, can keep a club in forward motion. Communication should be a prime factor for any club, because with it, a club’s teamwork and chemistry will grow. Creating rules can be tedious, because every club is unique, and some rules might not work well with other clubs. It’s your job to explore what rules work well with your group, and make sure everyone is notified about rule changes that are sudden. If everyone follows the procedures, then even your club can prosper.

Being a part of a club can really help someone excel in not only school but after school as well. Jobs love people who are active in their communities, doing things such as clubs or extra curricular activities can look really great on resumes, when nothing else can come to mind. Being part of a club proves that an individual can handle tasks, team work, and presents good communication skills which these, are highly praised within the workplace.

Sample Club Constitution and By-Laws
New and emerging student clubs can use this example when developing a constitution and bylaws specific to their club needs. Established clubs can use this when updating or changing their bylaws.
ARTICLE I: NAME & PURPOSE
Section A: Name β The name of this club shall be [name of club].
Section B: National Affiliation β If the club is a member of a national or state organization, add the following statement and attach a copy of the national constitution as it will become part of this document: βThe rules and regulations of the National Constitution shall be followed when not inconsistent with the rules and regulations of CSM.β
Section C: Purpose β The purpose of this club shall be:

ARTICLE II: MEMBERSHIP & DUES

ARTICLE III: OFFICERS

Section D: Treasurer β It shall be the duty of the Treasurer to:
β’ Receive all funds and process Request for Payment, Deposit Slip, and Officer Signature Forms.
β’ Keep an itemized account of all receipts and expenditures and make reports as directed
ARTICLE V: MEETINGS
Section A: Meetings β Regular meetings shall be held monthly during the regular school year.
Section B: Special Meeting β Special meetings may be called by the President with the approval of the Executive Committee.
Section C: Quorum β A quorum shall consist of [example: two-thirds (2/3)] of the membership. [The number required should be small enough to ensure that a quorum will usually be present but large enough to protect the club against decisions being made by a small minority.]

ARTICLE VI: EXECUTIVE COMMITTEE
Section A: Responsibility β Management of this club shall be vested in an Executive Committee responsible to the entire membership to uphold these bylaws.
Section B: Membership β This committee shall consist of the officers as listed in Article III and the faculty advisor.
Section C: Meetings β This committee shall meet at least once between regular meetings of the club to organize and plan future activities.
ARTICLE VII: ADVISOR
Section A: Selection β there shall be a faculty/staff advisor who shall be selected each year by the membership.
Section B: Duties β The responsibilities of the faculty advisor shall be to:
β’ Maintain an awareness of the activities and programs sponsored by the student club.
β’ Meet on a regular basis with the leader of the student club to discuss upcoming meetings, long range plans, goals, and problems of the club.
β’ Attend regular meetings, executive board meetings as often as schedule allows.
β’ Assist in the orientation of new officers.
β’ Explain and clarify campus policy and procedures that apply to the club.
β’ Maintain contact with the Student Life Office.
β’ Provide direction in the area of parliamentary procedure, meeting facilitation, group-building, goal setting, and program planning.
β’ Assist the club treasurer in monitoring expenditures, fundraising activities, and corporate sponsorship to maintain an accurate and up-to-date account ledger.
β’ Inform club members of those factors that constitute unacceptable behavior on the part of the club members, and the possible consequence of said behaviors.
ARTICLE VIII: COMMITTEES
Section A: Program Committee β A program committee composed of the Vice-President as chairperson and four other members shall be appointed by the President before the end of spring semester, whose duty shall be to plan the overall program of the club.
