Project Proposal

Project description 

My culmination project will be stage managing the live main stage portion of the BLERD CITY CON comic book convention. The location is the Voorhees theater. The event will consist of guest panels, interactive mock Jeopardy with the audience, and cosplay performers. I will coordinate with the sound, lighting, and video crews throughout technical rehearsals to work on the cues for the show. During the two event days I will coordinate with an assistant stage manager/runner to make sure the other elements of the event are happening in conjunction and call the cues for the show. The general timeline will be 8 weeks starting late January and ending April 5th. 

Methods 

  • Ā (Document preparation):

As the stage manager for Blerd City Con for the first couple of weeks I conducted some research on what the event consisted of in the past. This was done through going over the different past websites used by Blerd to market their events as well as their social media. This led me to create an event research document where I would document all of my findings and have a document where I could find any information I was looking for through the various links. Prior to the first production meeting where I would run my section I would sit in for the first two meetings of the semester and get used to being a part of meetings and what is expected of each section during meetings.

Throughout the project I collaborated with Jonathan Alexander who was the event manager for the Blerd event. Alongside Jonathan I started to move to the next phase of the event which was figuring out the logistics of how this event was going to take place in Voorhees with such a short amount of time. One of the first tasks was identifying the event spaces and measuring the spaces so that the Blerd team and our crew could plan accordingly. Before the second production meeting we met with Clairesa and the Blerd team to determine the event spaces for the two days and for them to get a feel of where their event would be hosted. The Voorhees theater, theater lobby, cafeteria and cafeteria lobby would be the four event spaces that Blerd would have access to. During a production meeting it was suggested by faculty that it would be nice to have floor plans that could be updated as we get more information to provide a visual for everyone and make it easier to understand where all the segments would take place.

After measuring the cafeteria I sketched up the first versions of the   floor plans that consisted of a basic layout of the cafeteria spaces with accurate measurements so that the Blerd team could then design their event knowing the limitations of the spaces. I then communicated with the Blerd team through email to figure out what kind of segments they were going to do and what equipment was going to be used. Another situation at hand was figuring out a run of show so that I would be able to build a schedule/script for segments happening in the theatre for both days. Clairesa was able to provide us with a schedule for the event and segments that would be happening but they were all subject to change. I then used this general schedule to create a more in depth breakdown that could constantly update as we got more information.

Based on the theatre segment breakdown I created I now had a run of show that I could use to create a script. When I presented this breakdown during one of the production meetings I received some feedback in regards to what each segment was and what equipment was needed so that our crew could prepare accordingly. This led me to create a questionnaire document for Clairesa to answer questions related to each specific segment, such as how long a video will play and will there be introductions to each segment so that I can set up transition cues.
